Proof of registration entitlement

Proof of registration entitlement documents prove how a vehicle came into your possession or management. The registered operator of the vehicle may or may not be the owner.

You must provide these documents to:

  • Register a vehicle.
  • Transfer registration of a vehicle.

If you are registering the vehicle in the name of a person who is not listed in the Proof of Entitlement documents. You must provide the relevant entitlement document and a letter of authorisation detailing the name and address of the person to be recorded as the registered operator

 

You must provide ONE of the Proof of Entitlement documents

Note:  All documents must be without alteration.

Motor Dealer warranty form
  • Issued by the NSW Office of Fair Trading.
Certified copy
Motor Dealer sales contract
  • Fully executed.
  • Expired cooling-off period (cooling-off period must be clearly identified in the contract).

Financial agreement
  • Made under the Family Law Act 1975, sections: 90B, 90C or 90D.
  • Certified in accordance with section 90G of the Act.

Termination agreement
  • Made within the meaning of section 44 of the Property (Relationships) Act 1984.
  • Certified in accordance with section 47 of the Act.

Letter
  • Seller's name, address and signature.
  • Buyer's name, address and signature.
  • Date the vehicle was sold. 
  • Selling price of the vehicle.
  • Vehicle registration and VIN/Chassis numbers.

Proof of purchase:

  • Bill of sale
  • Receipt 
  • Tax invoice
  • Seller's name, address and signature (if the vehicle is sold by an organisation, a seller's signature is not needed).
  • Buyer's name and address.
  • Date the vehicle was sold.
  • Selling price of the vehicle.
  • Vehicle registration and VIN/chassis number.

NOTE: Small trailer purchases from retail outlets only require seller's name, date of sale, sale price and VIN/chassis number.

  • Completed at a motor registry at time of registration.

  • For repossessed vehicles acquired by finance companies as a result of court action.

  • For repossessed vehicles without court action.
  • Detail the circumstances of how the vehicle was acquired, and whether it is acceptable.

  • Signed by the last registered operator(s) - both operators if the vehicle was registered in joint names.

Deceased Estates:

  • Will or Probate document 
  • Letters of Administration
  • Written advice from the executor of an estate
  • Shows that the vehicle was bequethed to you.
Certified copy

Trusts:

  • Written advice from a solicitor
  • Letter from NSW Trustee and Guardian (previously the Public Trustee)
  • Shows that the vehicle was bequeathed to you.
